Applicant Milestones

This article is for Applicants who have been awarded a Grant and the Grant Application is approved.

Milestone Overview

  • Milestones ensure Grant Administrators that you are fulfilling your commitments. Admin’s create milestones to gather up-to-date and relevant information from you, keeping you accountable.
  • Milestones contain at least one deliverable for you to complete. Common examples of requested deliverables include progress updates, expense reports and receipts for expenses.
  • You must receive and complete at least one Milestone in order to receive Grant funding. For larger Grants, it is common that you will be required to complete multiple Milestones, with funds being paid out in stages (draw downs). 
  • All Milestones have a due date so it is important to look out for these

 

 


Completing & Submitting Milestones


Now that your Application has been Accepted, wait for the Administrator to send you a Milestone. When this arrives:


  1. A task will be created on the My Tasks section of your Dashboard. Click View Milestones.
  2. Click Complete.
  3. You will be redirected to the Milestone Details. 
    • Amount: is the amount of funding you will receive after all Milestone deliverables are completed and approved.
    • Due Date: you must complete and submit all deliverables by this date.
    • Description: overview of the Milestone.
  4. Review the details, then click Complete Deliverables.
  5. Review and complete each Milestone deliverable. 
  6. Click Submit.
  7. Then click Submit Milestone.

After you submit a Milestone, an Administrator will review it. They can either approve all deliverables, or decline one or more. 


If all deliverables are approved, the Milestone will be complete and the status will be “Approved”. No further action is required by you and you can expect to receive payment for the amount specified in the Milestone. Note: The funding amount on some Milestones may be $0. In this case, you will need to wait for another Milestone to receive funds.

 

 

Tip: The Conversation feature is useful during the Milestone process.

 



Respond to Resubmission Request




After you submit your Milestone, it will be reviewed by at least one Grant Administrator. If the reviewer declines one or more deliverables, the Milestone will be resubmitted to you. Its status will be “Resubmission Requested”. 


  1. A task will be created on the My Tasks section of your Dashboard.
  2. Click View and Resubmit.
  3. You will be directed to the deliverables form.
  4. Look for deliverables that say “Resubmissions requested”.
  5. Review the reason for the request and respond accordingly.
  6. When you are satisfied with your amendments, click Submit.
  7. Then click Resubmit Milestone.

After you resubmit a Milestone, an Administrator will review it again. The status will be “Submitted”. They can either approve all resubmitted deliverables, or decline one or more again.


If any deliverables are declined again, you will need to repeat the resubmission process.


Alternatively, if all deliverables are approved, the Milestone will be “Approved”. No further action is required by you and you can expect to receive payment for the amount specified in the Milestone. If the funding amount is $0, you won't receive payment.

 

Tip: You can also access your Application via the Milestones menu. Look for any Milestones that have the status “Resubmission requested”. Click Resubmit, then Resubmit Deliverables.


Milestone Payment


After the Milestone is completed and signed off by the Grant Administrator, the status of the Milestone will be “Approved”. At this stage the Administrator can pay funds in part or in full. After the Grant is paid in full, and you anticipate that no further Milestones will be issued, the Grant process is complete.


You can see the status on your Milestones list  (Not paid, partially paid, or paid).


 

Tip: At any stage, you can view the payments submenu of your Milestone. Here you can see amounts paid, paid date and the outstanding amount due for that Milestone (note: this is not necessarily the outstanding balance of the grant but rather that outstanding balance of the Milestone).
