Configuring Institution Settings

Institution settings control how Institutions interact with Applicants and what access they have across your organisation. To configure these, go to Settings > Organisation > Edit Details.

Before You Start

Make sure you have reviewed each setting carefully before enabling Institution access, as these settings apply across all applications in your organisation. If you are unsure which configuration is right for your workflow, contact Tahua Support for guidance.


Available Settings

Institutions can edit Applications

Controls whether Institutions are able to make edits to applications that have been assigned to them.

  • Enabled — Institutions can edit assigned applications

  • Disabled — Institutions have no edit access to applications


Applicants submit Applications to Institutions

Controls whether Applicants must first submit their application to the Institution before the Institution can submit it to you.

  • Enabled — Applicants must submit to the Institution first, who then submits to you

  • Disabled — The Institution submits directly without requiring Applicant submission first


Letter of Offer accepted by Institution

Controls whether a Letter of Offer must be accepted by the institution as well as the applicant.

  • Enabled — Both the applicant and the institution must accept the Letter of Offer

  • Disabled — Only the applicant needs to accept

Note: This setting must be enabled if you want institutions to receive email notifications when an applicant accepts an offer. See [Why Didn't the Institution Receive a Decision Letter Email?] for more detail.


Institution Conditions Access

Controls what level of access institutions have to conditions on applications assigned to them.

  • No Access — Institutions cannot see conditions

  • Read Only — Institutions can view conditions but cannot make changes

  • Full Access — Institutions can view and manage conditions


Institution Milestones Access

Controls what level of access institutions have to milestones on applications assigned to them.

  • No Access — Institutions cannot see milestones

  • Read Only — Institutions can view milestones but cannot make changes

  • Full Access — Institutions can view and manage milestones

Note: Institutions always have full access to milestones that are directly assigned to them, regardless of this setting.


Applicants submit Milestones to Institutions

Controls whether Applicants must submit their milestones to the Institution before the Institution submits them to you.

  • Enabled — Applicants must submit milestones to the Institution first, who then submits to you

  • Disabled — The Institution submits milestones directly without requiring Applicant submission first


Institution Contracts Access

Controls what level of access Institutions have to contracts on applications assigned to them.

  • No Access — Institutions cannot see contracts

  • Read Only — Institutions can view contracts but cannot make changes

  • Full Access — Institutions can view and manage contracts

Note: Institutions always have full access to contracts that are directly assigned to them, regardless of this setting.
