# What can the AI assistant see?

A connected AI assistant has **read-only** access to your organisation's grant management data: summary information by default, plus form answers if your organisation opts in. This page describes exactly what is available, and what is deliberately excluded.

{% hint style="info" %}
Every connection is tied to the administrator who approved it. The assistant can only see records that administrator can see under your organisation's data policies - an administrator restricted to particular funding rounds will only ever get results from those rounds.
{% endhint %}

## Available data

### Funding rounds

Round names, descriptions, open and close dates, published and archived status, and category and group information.

### Funding applications

Application numbers, titles, current state, submission state, and submission dates. The assistant can also request the **full context** of an application in one go: its funding round, the applicant, assessment summaries, the final assessment score, and the funding decision (approved or declined, offered amount, conditions, and accept/decline dates).

### Applicants

Applicant names, registration types, and registration states.

### Assessments and assessment rounds

Assessment state (not started, in progress, complete, declined), the overall score, the assessor's name and email, conflict-of-interest flags, decisions, and key dates. Assessment round details include names, dates, and configuration such as anonymous assessment and conflict checking.

### Contracts

Contract titles, states, amounts, start and end dates, contract numbers, contract managers, whether a contract is a variation, and how many milestones it has.

### Milestones

Milestone titles, descriptions, types, funding amounts, due dates, states, and submission, publication and payment dates.

### Payments

Payment amounts, states, paid dates, batch references, and payment categories.

## Form answers (optional, off by default)

By default the assistant sees summary data only - it cannot read what an applicant or assessor actually wrote. If your organisation wants that capability, an administrator can turn on the **Form answers** setting on the same **API & MCP** settings page. It appears below **Hosted MCP access** once MCP is enabled: under **Include form answers**, select **Enabled** and click **Save changes**.

![](https://4124979405-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2F49pNEQ4fXNtxv0yJ5jgn%2Fuploads%2Fgit-blob-0e1d1a59af1cbb4f8b6506e437f1a3dac84f3934%2Fmcp-form-answers-toggle.png?alt=media)

When enabled, the assistant can fetch answers for one record at a time:

* **Application form answers** - what the applicant entered on their application
* **Registration form answers** - the applicant's registration details
* **Milestone report answers** - responses on submitted deliverable/report forms
* **Assessment answers** - the assessor's responses, including each scored criterion's score and weighting alongside the overall score

Answers are returned as question and answer pairs. Multi-choice answers show the option labels the person selected, and table answers keep their row numbers. Like everything else, answers are filtered through the connecting administrator's data policies.

Turning the setting off again blocks answer access immediately. Enabling or disabling it is recorded as a security event.

## What is never exposed

The following are deliberately excluded from every response, regardless of who is connected and regardless of the Form answers setting:

* Uploaded **files** and images (neither the file nor its name is ever returned)
* **Bank account details** and payment routing information, including bank account questions inside forms
* Generated **documents** such as contracts and letters
* Identifiers from connected **accounting systems** (Xero, QuickBooks, MYOB, Accredo)
* User email addresses, other than the assessor's on an assessment summary

## Tool reference

For technically minded users: these are the tools the Tahua MCP server exposes to a connected client. All tools are read-only. List tools support text search (`q`), filtering, and cursor-based pagination with up to 50 results per page.

`get_application_context` is the richest summary tool - it returns an application together with its round, applicant, assessment summaries, final score, and funding decision in a single call. The four answer tools each take a single record ID; if the Form answers setting is off they return an error explaining that form answers are not enabled for the organisation.
