Why we built this

Currently, if your grants management process requires some level of verification or oversight of your applicants information from another organisation, you would have had to either invite the user(s) into the applicant organisation and manage the verification processes manually or handle the processes outside of the system entirely. These are usually things like applications, offers, contracts, and milestones.

An example of an oversight process is when a researcher applies for funding and is hosted by a University - the University must review the application details, verify the budget calculations, and ensure research compliance standards are met before the application can be submitted to the funding organisation.

Although we've found ways to work around this limitation, we recognise that verification and oversight require their own dedicated space within Tahua to create a more robust and transparent process for everyone involved.

Introducing the Verifiers role

This is where the new Verifiers role comes into play! The Verifiers role provides a dedicated user experience to oversee and/or verify various parts of the Applicant processes so that all parties involved can be in the loop about where a given Application are in the process, including it’s related records.

Here's an overview of the new features Tahua provides, which you can choose to enable:

  • A dedicated user type and portal for Verifiers
  • Application Assignment of Verifiers for Verifier Application access
  • A two step submission process from Applicant to Verifier and then Verifier to Funder
  • Verifier Letter of Offer acceptance or decline (further to the Applicant decision).
  • Verifier Signatories for Contract to enable tri-party agreements
  • Milestone access for Verifiers
  • Two step submission process for Milestones from Applicant to Verifier and then Verifier to Funder.

The term Verifiers can be configured and renamed to be more specific to your funding domain. For example, an Institution, University, or Platform.

Similar to Applicants, Verifiers can either register their organisation through your portal or receive an invitation from a system Administrator. Once registered, Verifiers can manage their own details and invite additional members to their organisation through their portal at any time.

After Verifiers are added to your system, you can assign Applications to them. Based on your Verifier settings configuration, they will have specific viewing and editing permissions for any Applications assigned to them.

Additionally, a two-step submission process can be enabled, requiring Applications to be submitted to the assigned Verifier for review before final submission to your Organisation.

Once an Application in submitted to your organisation, additional Tahua processes can be integrated with Verifiers to further enhance the process, such as:

  • Verifiers can be setup to Accept Decision Letters (Letters of Offer)
  • Application Milestones can be accessed by Verifiers with the option for Milestones to be submitted to their Verifier before they are submitted to your Organisation
  • Contracts can be accessed by Verifiers and Verifier Users can be assigned as Contract Signatories if they are required to sign Agreements

What this means for you

With Verifiers, you’ll now:

  • Be able to easily involve all parties involved in the process of submitting and managing an application.
  • Ensure that the appropriate level of oversight and approval has been gained before it reaches you.
  • Understand who an application is sitting with in real time
